How to Build an AI-Powered CRM Pipeline with n8n

Adding AI to other stages usually underperforms. Lead capture should be a deterministic form-to-CRM write, not an AI-interpreted intake. Stage assignment should follow your sales process rules, not a model’s probability estimate. Sales handoff should use fixed routing rules (by territory, deal size, or product) because salespeople need to trust the routing.

How to Structure the n8n Workflows Not One, Six
A CRM pipeline should be six separate n8n workflows, not one mega-workflow. Each triggered by a different CRM event. Each writing back to the CRM. Each independently testable and replaceable.
The six workflows are capture, enrichment, scoring, nurture, handoff, and re-engagement. Stage assignment is not a separate workflow because it runs inside the scoring workflow at the final step (the score determines the stage). Each workflow has a single trigger, a narrow remit, and clear input and output contracts.

The third pass is recent activity enrichment. A search API (Perplexity API, SerpAPI, or Google Programmable Search) returns recent news about the company. An AI model extracts funding events, leadership changes, product launches, and hiring activity. These become signals for scoring and nurture. Cost is around £0.01 per lead.

Scoring and Stage Assignment
Scoring and stage assignment happen in the same workflow because the score determines the stage. The workflow triggers when a contact hits enrichment_status = completed.
Scoring is where your ICP definition does the real work. The AI model is only as good as the scoring criteria you feed it. Four categories cover most B2B scoring models. Role and seniority fit. The rationale matters because it is what your sales team reads when they pick up the lead.
Once the score is written to the CRM, stage assignment runs as a rules-based step in the same workflow. A common ruleset looks like this. Nurture Sequences and Sales Handoff
Nurture and handoff are where the pipeline starts producing revenue. Both workflows trigger from stage assignment. Both write back to the CRM. Both need clear boundaries between what AI does and what humans do.
The nurture workflow generates personalised email content for leads in marketing_qualified and long_term_nurture stages. The pattern we recommend is AI-generated opening lines plus human-written email templates, not fully AI-generated emails. An AI model takes the enrichment data and scoring rationale and writes the first two sentences that reference something specific about the lead.
